'My Company' Settings Follow
The My Company settings in SpringAhead are where an admin can configure the settings which govern the company as a whole. These settings are used when the 'Company Settings' option is selected from the drop-down menus throughout the SpringAhead systems.
To access the My Company page, first log into your SpringAhead account, and click on Settings to go to the Settings page. Next, click My Company:
At the top of this page, there are two text boxes:
Company Name: The Company Name is displayed in the upper-right corner of the SpringAhead account when a user is logged in.
Login Name: This is the Company Login Name used to log into the SpringAhead account.
License: Used internally by SpringAhead.
Global Settings
Global settings are settings which affect the entire account.
Time Zone: Controls the timestamps for time entry and auditing.
Currency: Select the currency used by the company. Only one currency per company.
First DOW/DOM: Sets the first day of week and month, which drives time entry data and reporting. Note: This cannot be changed once it has been set during the initial creation of the SpringAhead account.
Allowed Entry Date (locks all previous): Locks the time card entry up to a specific date.
Hide Company Name: Will hide the company name in the upper right corner of SpringAhead.
Defaults
Email Notifications Active: When checked, enables email notifications by default for all users.
Logout Timeout (minutes): After the number of minutes has been entered, SpringAhead will automatically log out.
Use User Rates: Enables User rates on a user's Project Rates tab within their user profile.
Use User Reps: Enables Reps to be added to a user's Approvers tab within their user profile.
Use Tasks: Enable the use of Tasks in SpringAhead.
Use Attachments: Enables the ability to upload attachments to expense reports and time cards.
Project Class Mandatory: Requires a class to be mapped to every project in SpringAhead.
Project A/R Account Mandatory: Requires an A/R account to be mapped to projects from the Invoice tab.
Sync Inventory Items: Feature no longer supported.
Time
Enabled: Enables time entry in SpringAhead.
Allow new time after approval: Enables users to enter in time on an approved timecard.
Changes Require a Reason (DCAA): Requires users to add a reason when entering or removing time on the timecard.
Use Time Accrual: Enables the ability to configure time accruals on a user's profile.
Effective Date: The effective date for accruals -- we recommend keeping it at the first of the year.
Accrual Display: Display the accrued hours as hours or days.
Time Advanced
List Entry Time Cycle: Controls how many days are on the list view of the timecard.
Use Time In/Out: Allows users to enter time in, time out, and a break.
Use Clock In/Out: Allows users to 'punch' a timecard in and out.
Rounding Minutes: This feature is no longer supported.
Late Minutes: This feature is no longer supported.
OT Day Hours: Calculates when overtime will automatically split daily. For example, if 8 is entered, overtime will automatically split out after 8 hours have been entered for the day.
Use OT Week Hours: Calculates OT by Week.
DT Day Hours: Calculates double-time -- which is usually anything after 12 hours.
Automatically Split Overtime and Doubletime: Enables SpringAhead to automatically split out overtime and double-time, based on the hours entered in the above boxes.
Legal Text for Submission: Allows customized legal text to appear at the bottom of the timecard page.
Legal Text for Approval: Allows customized legal text to appear at the bottom of the approval page.
Payment Memo: Allows for customizable payment memo by using QuickCard codes.
Time Increment (Minutes): Enter in the number of minutes users enter time in.
Timecard min rows: This feature is no longer supported.
Timecard row added: This feature is no longer supported.
Default new time as submitted: Enables timecards to be submitted upon save.
Expense
Enable: Enables the Expense module
Use Foreign Currencies: Enables using foreign currencies. Note: the user will need to calculate their own conversion outside of SpringAhead.
Payment Memo: Allows for customizable expense report memo using QuickCard codes.
Expense Advanced
Offset Account (NRB JE): Used for billable, non-reimbursable journal entries.
Invoicing
No Invoicing: Disables the ability to export invoices.
Export Timecards with Invoices: Enables timecards to export with invoices.
Export Invoices: Enables the ability to export invoices to Quickbooks.
Include Time Description on Invoices: Enables the ability to export timecard descriptions.
Accounting Software: Select which system the invoices are going to:
- Archive sends the invoice to the SpringAhead archive.
- Quickbooks sends the invoice to Quickbooks Desktop through SpringConnect.
- Quickbooks Online sends the invoice to Quickbooks Online through SpringConnect.
- PeachTree no longer supported.
- Dynamics GP no longer supported.
Invoice Cycle: Sets the default for how SpringAhead will aggregate the data:
- All – Anything in the software for this customer goes on the invoice.
- Weekly – Once a week.
- Bi-Weekly – Every two weeks
- Monthly – Once a month starting on the 1st.
Invoice Date: Select how you want the invoice date to default *:
- Today – Populates the current day’s date.
- Period End Date – Depending on what is selected in Invoice Cycle, the end date of that selection.
- Period End Date + 1 – Depending on what is selected in Invoice Cycle, the end date of that selection, plus one day.
- Custom – Enter a date that works for the customer.
Invoice Description: Allows the ability to customize the invoice description using QuickCard codes.
Use Item Description: Enables the system to use the Description field on the Item to be used on the invoice.
Invoice Advanced
Invoice Terms (company overrides): SpringConnect only feature - allows using invoice terms.
Invoice Message: SpringConnect only feature - select a list of personal messages to appear on an invoice.
Invoice Class: SpringConnect only feature - Enables the admin to map a class to appear on all invoices.
Invoice AR Account: SpringConnect only feature - Enables the admin to map an AR account to use for all invoices.
Default Item: Enables an admin to select a single Item to appear on all invoices.
Name Format: Select how the rep from Bullhorn's name will be displayed
Sales Tax: Enables the admin to select from two options:
- Always not taxable – No taxes are added in QB.
- Use Accounting System settings – applies tax using the configuration setup within the accounting system.
Name Format: Used for Bullhorn. Select how the rep from Bullhorn's name will be displayed.
Rep Format: Used for Bullhorn. Allows the admin to choose whether or not to use the rep's full name or just their initials.
Export Rep Disabled: Used for Bullhorn. Turns off rep export.
Export "Recruiter" Column: Used for Bullhorn. Allows the rep to export to the recruiter field.
Payables
No Payables: Enables the ability to export timecards from the payable page.
Payable Cycle: Configures how the timecard data is aggregated:
- All – Anything in the software for this customer goes on the invoice.
- Weekly – Once a week.
- Bi-Weekly – Every two weeks.
- Monthly – Once a month starting on the 1st.
- Semi–monthly - 1st - 15th; 16th - month end.
Contractor Payments: Sends a bill or check based on time.
- Direct – select for Quickbooks.
- Payroll –select for custom .csv export
Expense Reimbursements: Used for Contractor exports.
- Direct – export as Bill.
- Payroll – export as Check.
Payables Advanced
Burden %: Recruiters find candidates and are paid by the time the candidate works. The burden is the percentage taken away because the company must pay benefits, etc. and the recruiter shouldn’t gain commission on that.
Payables: Payroll Export
Export Timecards with Payroll: Defaults to export timecards from the Payables page to Quickbooks. Leaving this unchecked with export the timecards to the Archive.
Payroll Software: Sets the default export software, please note that the options listed here are those currently supported:
- Archive None – Send only timecards to Quickbooks.
- Text – Exports a .csv of the time data.
- Custom – Creates a custom .csv for Payroll
- Quickbooks/Quickbooks Online – Sends both timecards and journal entries to Quickbooks.
- Paychex – Prebuilt .csv export for Paychex.
- ADP – Prebuilt .csv export for ADP.
- SurePayroll – Prebuilt .csv export for SurePayroll.
Payroll ID: If a Payroll ID is required, it will automatically populate on exports.
Use Pay Codes: Enables the Pay Code field for custom .csv exports.
Use Department Codes: This feature is no longer supported.
JE Liability Account: When Quickbooks is selected as the Payroll Software, map the Liability account here. The default is Wages Payable.
JE Expense Account: When Quickbooks is selected as the Payroll Software, this GL account will be used for the exported journal entry. Unmapped will use Gross Wages as default.
Payables: Accounting Export
Export Timecards with Accounting: Enable to include timecards when exporting bills/checks for contractors.
Payable Software: Sets the default software on the payables page.
- Archive None – Moves data to the Archive page.
- Text – Exports a .csv of the time data.
- Custom – Creates a custom .csv for Payroll
- Quickbooks/Quickbooks Online – Export data to Quickbooks.
- Paychex – Prebuilt .csv export for Paychex.
- ADP – Prebuilt .csv export for ADP.
- SurePayroll – Prebuilt .csv export for SurePayroll.
Bank Account for Checks: If exporting checks to reimburse users, this account will be used on the check.
Payables: Accounting Export Advanced
Contractor Payments: Select whether or not contractors get paid has checks or bills. The default setting is Bills.
Bill Details: Select whether or not to display the details of the expense account or the item on the bill.
Bill Liability Account: Account used for exported Bills. By default, it's Accounts Payable. If exporting to a foreign currency, a different account will need to be mapped.
Bill Expense Account: Account used for exported Bills. If there's a specific account to use, you can map it here -- otherwise, we recommend leaving it blank.
Time Payment Dates: Sets a default date on the Bill in Quickbooks.
Expense Payment Dates: Sets a default date that is added in the expense module.
Credit Card Charge Dates: Sets default date to use for credit card charges:
- Today – Date of the export.
- Transaction – The date of the credit card transaction.
- Custom – Allows it to be changed to what is needed.
Timecard Payroll Items and Codes
This section is where you can map the Payroll Item from the Payroll Item list to the default time types in SpringAhead. Note that if Pay Codes are enabled in the Payables: Payroll Export section, you will be able to map them here.
Enterprise Time Approvers
Default Time Approver: Sets a default time approver to approve time cards, if no approver is set on the User or Project level.
Use Additional Time Approvers: Enables the ability to add additional time approvers on the User and Project level.
Approval Requirement: Configure whether or not all set approvers must approve time cards:
- All Enterprise Additional Time Approvers – Select if both established approvers and additional approvers need to approve.
- Any Enterprise Additional Time Approvers – Select if the approval should come from whoever gets to it first.
Active User: If additional global approvals are required, you can set them here. Checking the box under Active will activate them within the approval flow.
Enterprise Expense Approvers
Default Expense Approver: Sets a default approver to approve expense reports if no approver is set on the User level.
Use Additional Expense Approvers:

Once you're finished configuring the settings as needed, you can save them by clicking Save, to remain on the page, or Save and Close to be taken back to the Settings page.
